Why your email signature deserves a second look
Now that we’ve established your email signature isn’t just a sign-off, let’s talk about why it’s such a valuable piece of your nonprofit's communication toolkit.
Unlike social posts or newsletters, your email signature shows up in every single conversation. Whether you’re talking to a potential donor, board member, or community partner.
A well-crafted signature can help you:
- Look polished and professional
- Share a quick call to action (like “Donate” or “Volunteer”)
- Guide people to your website or latest campaign
- Stay consistent with your branding
- Keep a current campaign or event top of mind
Think of it like a mini billboard that travels with every message you send. I know I’ve personally clicked on links in peoples’ email signatures when they sparked my curiosity!
What to include in a nonprofit email signature
Your email signature should make it easy for people to know who you are, how to get in touch, and how to stay connected to your mission even after the email ends.
Here's a visual example of an email signature:
Here are a few building blocks to include:
- Headshot or organization name/logo – A small picture of yourself or organization logo keeps your brand front and center.
- Your full name and title – Let people know who they’re talking to.
- Contact info – This could be your phone number, direct email, or a general info inbox.
- Website link – So folks can explore your mission, donate, or get involved.
- Simple CTA – Like “Volunteer with us,” “Donate now,” or “Watch our latest video.” Make it clickable!
- Social media icons – If you're active on social, link to 1–3 key platforms.
Want to go a step further? You can also include:
- A link to schedule a call or meeting
- A short tagline or mission statement
- A highlight for an upcoming event or campaign
Best practices to make your signature stand out
Once you’ve got the basics in place, a few minor tweaks can help your email signature work even harder without being overwhelming or cluttered.
Here are a few tips:
- Keep it short and scannable: Aim for 4–6 lines of content max. Use line breaks or dividers to make it easy on the eyes.

Prioritize one call to action: Too many links = decision fatigue. Choose one CTA to highlight and rotate it seasonally. For example:
- During Giving Tuesday, link to your donation page
- In spring, promote an event or volunteer need
- Make it mobile-friendly: Most emails are read on phones, so test your signature on mobile. Avoid stacking too many elements or using tiny fonts that are hard to read.
- Stay consistent across your team: If everyone uses a different email signature, your nonprofit’s branding can start to feel disjointed. Create a shared template your team can copy and customize. I did this in my own organization!
